Readable and truthful applications
Graduate ATS Screening Guide
Use clear structure and accurate role language without treating an automated score as a hiring prediction.
Graduate ATS screening preparation means making your application easier to parse and matching it truthfully to the role requirements. An applicant tracking system can support application collection, search and screening, but no generic checker can reproduce every employer’s configuration or predict a hiring decision.
Write for the human reader as well as the system: clear headings, recognisable dates, relevant evidence and a file format the vacancy accepts.

Use formatting that is easy to parse
A simple layout is not a substitute for evidence. It merely reduces the risk that structure hides the information the employer asked for.
Use role terms only where they are accurate
Highlight responsibilities, tools and skills repeated in the vacancy. Use the employer’s wording when it describes your real experience, then support it with an action or outcome. Do not paste a list of keywords into a hidden section or claim knowledge you cannot discuss.
Vacancy requirement: “Maintain accurate records and communicate progress to stakeholders.”
The revision uses relevant language because the actions support it. It remains useful to a human reader even if no automated keyword matching occurs.
Run a format and truth audit
- Copy the document text into a plain-text view and check its reading order.
- Confirm that contact information, headings, job titles and dates are visible.
- Compare important vacancy terms with evidence in the document.
- Remove unsupported keywords and vague skill claims.
- Proofread the exported file and follow the application instructions.

Yale Office of Career Strategy ATS and resume guidance recommends simple formatting, standard sections, bullet points and evidence relevant to the target role.
Check readability before chasing a score
Confirm that the final file preserves a clear reading order and that every important role term is supported by truthful evidence.
Understand what an ATS check cannot tell you
Applicant tracking systems vary in purpose, configuration and workflow. Some store and search applications; some support screening questions, recruiter review or integrations. A public checker does not know the employer’s complete setup, decision rules, applicant pool or human review process.
Use a checker as an editing aid. Investigate a missing section, unreadable export or overlooked role term, then decide whether the suggestion improves the real document. Reject advice that introduces inaccurate keywords, awkward repetition or claims you cannot defend.
Audit application fields as well as the attachment
An employer may ask you to enter education, experience or eligibility information directly into a form. Complete required fields accurately even when the same information appears in the resume. Check word limits, date formats and dropdown selections before submission.
Keep the vacancy and submitted version. If invited to interview, review the exact claims the employer received. Delete no accurate evidence merely to satisfy an unexplained score.
Should keywords be repeated many times?
No. Use relevant terminology naturally where evidence supports it. Repetition without substance reduces readability and can create misleading claims.
Are PDF files always safe?
Follow the application instruction. Export quality and system compatibility vary, so open the file and confirm that text can be selected and read in order.
Can ATS optimisation guarantee an interview?
No. It can improve clarity and role matching, but eligibility, evidence, competition and human decisions still matter.
Use a plain-text parsing test
Copy the exported document into a plain-text editor and read it from top to bottom. Check whether your name, headings, dates, employers, institutions and bullets appear in a sensible order. This does not reproduce an ATS, but it can reveal content trapped in decorative elements or a broken export.
Then return to the designed version and confirm that improvements for parsing have not damaged human readability. Keep sufficient spacing, consistent headings and concise bullets. Accessibility and clarity are better goals than an unexplained optimisation score.
What if a checker gives conflicting advice?
Prioritise the employer’s instructions, truthful evidence and readable structure. Treat automated feedback as a suggestion that requires judgement.
Review the vacancy and application form together. A keyword present in the advert may belong in a screening question rather than the attachment, and some required evidence may need to appear in both. Complete each field according to the instruction instead of assuming the resume replaces it.
Save a copy of substantive application-form answers as well as the attachment. If invited to interview, review the exact evidence and terminology the employer received.
